Every child must be registered as a member before they can be booked into our service.
Parents/carers must ensure that they provide all the mandatory information about their child and that it is kept up-to-date. This ensures that The Play Professionals can care for children, keep them safe and meet Ofsted requirements.

All prospective pupils are welcome to attend a free taster day, usually on a Friday afternoon.

A registration is required due to Ofsted, but there is no commitment to a paid session.

This service is for families who need emergency childcare or occasional sessions.
The Superheroes hotline is 020 8678 5959 or 020 8678 5968, any calls to this line that are regarding regular bookings will be directed to Magic Bookings Help Section (Booking Tutorials).
Superheroes Checklist
- Register your child with The Play Professionals using our online booking system and become a member.
- After School Club is bookable up to 3pm on the same day.
- Breakfast Club is bookable up to 4pm the working day before.
- Have your payment card ready as we will take payment for the session over the phone.
- Call the school reception to inform them that your child(ren) will be attending The Play Professionals club.
- Check (over the phone or on our website) Breakfast Club and/or After School Club opening and closing time and organise your chid(ren) drop off and collection accordingly.
- Please note that Superhero places are non-refundable and non-transferable.

Saskia is responsible for overseeing the Policy and Public Affairs function at the British Copyright Council. Before joining the British Copyright Council, she managed the policy and government relations workstreams for the British Psychological Society. Additionally, she served as the policy lead for the BPS' Psychological Government project, which focused on analysing decision-making processes within government. Saskia commenced her career at Prospect Magazine as the Head of Research and Political Engagement.

- Our charging policy and booking system are straightforward, with no hidden fees for different age groups or extra activities. We also offer free taster sessions.
- We offer a unique Superheroes service, allowing parents and carers to book emergency places at short notice. You can either book online up to 15 minutes before your scheduled Breakfast or After School Club session begins, or call the Superheroes hotline on 020 8678 5959 / 5968 between 9:30 am and 1:30 pm. Please note, we have a limited number of Superheroes places available, so we cannot guarantee availability.
- In addition to our term-time provision, we offer services on school INSET days (at selected schools) and during school holidays, ensuring parents can rely on us without disruption to their work or study commitments.
- As a non-profit organisation, we are proud to be an active part of the community and to reinvest any profits directly into our services for children.

Complaints Policy
We have a three-stage complaints procedure:
- Stage 1: Informal – to the Centre Manager
- Stage 2: Formal – to The Play Professionals Head Office
- Stage 3: Formal – to The Play Professionals Board of Trustees
Stage 1: Informal Complaints
Every effort is made to resolve complaints or difficulties informally. If you have a complaint about our services please approach the Centre Manager, in the first instance, to discuss your concerns.
If after discussion, you feel your complaint has not been or cannot be resolved informally, you may use our formal written complaints procedure.

We recognise that:
- The welfare of the child is paramount.

What to do if you are worried about a child’s safety or welfare or about the behaviour of an adult:

Behaviour Policy
How to handle difficult behaviour:
When a child misbehaves, the first step is to remain calm and address the behaviour in a consistent and respectful manner. You should:
- Use positive behaviour strategies such as praise for good behaviour, redirection, and setting clear expectations
- Speak to the child at their level, using simple, clear language to help them understand what behaviour was inappropriate and why
- Identify the reason behind the behaviour, as misbehaviour is often a form of communication (e.g., frustration, tiredness, or unmet needs)
- Offer choices, where appropriate, to give the child a sense of control and responsibility for their actions
- Model appropriate behaviour, showing the child how to respond calmly and respectfully in challenging situations
What actions to take if the child/children continue to misbehave:
If the behaviour continues despite initial intervention, you should:
- Reinforce boundaries by calmly reminding the child of the rules and expected behaviour
- Apply consistent consequences, such as a short, age-appropriate reflection time (e.g. thinking chair or quiet space)
- Observe the behaviour to identify any patterns or triggers and document all incidents in the child's file
- Communicate with colleagues and, if necessary, involve the SENCO, or/and the Operations Team for further support
- Engage with parents/carers, sharing observations and working together to support the child’s development consistently across home and settingList Item
- Review and adapt strategies if needed, ensuring the child receives the appropriate emotional or behavioural support
The goal is always to support the child in learning appropriate behaviour through guidance, consistency, and understanding, rather than simply punishing them. It’s crucial to focus on supporting the behaviour, not labelling the child.
Children's Attendance Policy
1. Purpose
The purpose of this policy is to ensure that all children attend the breakfast club and after-school club regularly and on time. Consistent attendance helps children build routines, develop friendships, and fully benefit from the activities and support provided. It also promotes their wellbeing and ensures effective safeguarding.
Children being absent from early years settings repeatedly, or for prolonged periods of time, may be a vital warning sign for a range of safeguarding issues.
There have been incidents where serious harm to a child may have been prevented if an absence from their early years setting had been reported to social services and/or the police.
2. Scope
This policy applies to all children enrolled with The Play Professionals including Breakfast Clubs, After School Clubs and holiday Playschemes
3. Registration and Attendance
- Parents/guardians must register their child and provide all necessary contact information, including emergency contacts; (a minimum of three contact numbers)
- Attendance is recorded daily upon arrival and departure.
- Children must be signed in and out by a parent/guardian or authorised adult.
4. Expected Attendance
- Children are expected to attend all scheduled sessions unless they are unwell or there is another valid reason for absence.
- Parents/guardians should ensure children arrive on time to avoid disruption and ensure safety.
5. Reporting Absence
- If a child will be absent, parents/guardians must notify the setting as soon as possible, preferably before the start of the session.
- Reasons for absence should be given (e.g., illness, family emergency).
- If a child is absent for a prolonged period of time, or if a child is absent without notification from the parent or carer, attempts must be made to contact the child’s parents and/or carers and alternative emergency contacts.
6. Late Arrival and Early Collection
- Children arriving late or leaving early must be signed in/out on the registers.
- Persistent lateness may affect the child’s experience and participation in activities.
7. Monitoring Attendance and Safeguarding and Safety
- Attendance records are maintained daily and monitored regularly. Regular attendance helps ensure children’s safety.
- Patterns of unexplained or frequent absence may be discussed with parents/guardians. Staff must consider patterns and trends in a child’s absences and their personal circumstances and use their professional judgement when deciding if their absence should be considered as prolonged. Consideration must be given to the child’s vulnerability, parent’s and/or carer’s vulnerability and their home life.
- In cases of persistent unexplained absence, the setting may involve external authorities in line with safeguarding procedures. Emergency contacts will be used if a child does not arrive as expected.
Any concerns will be referred to local children’s social care services and/or a police welfare check requested.
8. Responsibilities

- Ensure children attend regularly and on time.
- Notify the setting of absences promptly.
- Provide accurate contact details and update them when necessary.

- Record attendance accurately and consistently.

Food Policy
Aims:
This policy ensures that all food provided in our After-School Clubs (ASC) and Breakfast Clubs (BC) and complies with UK School Food Standards, National Health Service (NHS) guidance, World Health Organisation (WHO) recommendations, and Early Years Foundation Stage (EYFS) requirements. Our aim is to promote healthy eating habits and provide balanced, nutritious options for children.
Guiding Principles:
- Follow the Eatwell Guide and UK School Food Standards
- Provide a variety of foods from the main food groups: starchy foods, fruits and vegetables, dairy, and protein
- Minimise high-sugar, high-fat, and highly processed foods
- Ensure water and milk (with alternatives to dairy available) are the main drinks offered
- Consider allergies and dietary requirements in all food preparation
After School Club Menu Standards:
Approved Options:
- Fresh fruit and vegetable platters (carrots, cucumbers, peppers, tomatoes, melon, oranges, apples, pineapple, avocado)
- Wholegrain bakery items (wraps, wholemeal bread, crackers, rice cakes, bagels)
- Dairy and protein (cheese slices, cream cheese, boiled eggs)
- Higher-meat deli slices with fewer preservatives
- Tinned tuna as an alternative protein

This expands on the previous National School Breakfast Programme (NSBP) for disadvantaged areas, aiming to provide a supportive, healthy start for all pupils, boosting attendance, behaviour, and attainment.
Breakfast Club Managers should aim to promote healthy breakfasts as wholesome, nutrient-rich meals featuring whole grains, fresh fruits/veg, and protein, moving away from sugary cereals, with ideas like porridge with fruit, avocado on wholemeal toast, veggie- packed omelettes/muffins, and fruit/yogurt smoothies, emphasising quick, make-ahead options like overnight oats or breakfast pots to fuel children without processed sugars, all about quality ingredients to build energy and focus.

“Staff are very welcoming, kind and caring in their approach. They keenly greet all children as they enthusiastically arrive from the nursery and school sites where the club is based.
Staff have high expectations for all children's behaviour and conduct, and they are very consistent in their approach. They organise the environment effectively to help to support children's emotional well-being.
Key staff support the youngest children tremendously well, to help to support their emotional well-being as they settle. When children first arrive, they listen to and keenly follow the club routines.
Staff are good role models. They frequently praise children for their achievements, such as when they make beaded bracelets and build forts with construction pieces. Children have lots of fun at the club and consistently demonstrate very positive behaviour.
Staff are very positive in their praise to boost children's self-esteem.
Staff plan lots of varied activities to help to promote children's enjoyment, and to meet their individual needs. This is demonstrated particularly well for children in the early years age range. Staff positively interact with children and keenly join them in their play, such as when young children excitedly play shops, and look for pretend croissants.
Overall, children are consistently engaged, and they demonstrate their enjoyment.
Older children concentrate as they carefully make snowflakes from folded paper. Staff keenly explain the art of origami. Children benefit from a healthy light meal. Staff successfully support children's healthy food choices.
The highly qualified staff team frequently accesses a range of opportunities to

Activity Plan 2025-26
- At The Play Professionals we always have a plan but we are happy to adapt as self-directed play stimulates imagination, and allows children to experience independence from an early age while in a safe, prepared environment.
- Collection time is from 17:10 to 18:00 during which time there is free play for all children, including an opportunity to do homework and socialise before going home. This also gives Parents and Carers an opportunity to receive feedback from the team.
